Domus Academy is currently seeking motivated individuals for the role of
ACADEMIC COORDINATOR
Reporting hierarchically to the Academic Coordination Supervisor, the Academic Coordinator, will support the orchestration of the deployment of all teaching activities and collaborate in harmonizing the occupancy of the school.
The Academic Coordinator will collaborate with Programme Leaders to ensure the preparation of courses/workshops of the ongoing 1-year Master’s schedules and will support students’ learning experience, by welcoming students, monitoring attendance and their educational path and providing all important didactic communication.
The selected candidate will carry out the following activities:
- Support the collection of the needs of Programme Leaders for all didactic activities to elaborate course timetables, contacting external faculty, organizing possible field trips and making sure to pass all correct information to HR for contractual needs.
- Ensure the development and correct schedule planning for all those students enrolled in the Dual Award Programme in collaboration with Regent’s University of London.
- Assure synergic work with Career Service and Industry Relations to make sure contacts with companies are managed correctly, according to the organized schedule. Support also the planning of teaching activities dedicated to possible collaborations with other international schools and/or tailor-made programs.
- Support academic activities for students during their studies, providing them with assistance and information concerning topics relating to their study plans and careers, always assisting them both by email and organizing meetings if required.
- Support activities for welcoming the students (such as preparation of welcome kit and vademecum ) and assure front office work by collecting the academic documentation required, in order to guarantee student satisfaction levels.
- Support academic activities to facilitate all lecturers involved, by managing various aspects (i.e. attendance recording, contracts, collecting documents needed, sending informative vademecum and reminders, assisting them with any kind of request from the first contact to the conclusion of their teaching activities); ensure compliance with labor law and company guidelines.
- Support the collection and analysis of student satisfaction surveys, as well as activities aimed at monitoring academic progress to reduce the risk of dropouts and enhance overall student satisfaction. Organize and actively participate in student forums to foster dialogue and continuous improvement.
- Support the monitoring of students’ academic progress by collecting and managing study plan submissions, ensuring compliance with ministerial and internal regulations and procedures. Provide students with clear and timely information regarding the academic calendar, including detailed guidance on term-specific activities, scheduled mentorship sessions, and final exams. Address any questions or concerns students may have related to these academic milestones.
- Support the organization and management of events, such as Marathons, Open Days, Graduation Ceremony, and others by informing and coordinating students and guests, contacting external lecturers, as well as providing extra organizational details.
- Support the organization of any other didactic activity which might be offered by the Academy during the academic year, according to the indications received by the Academic Coordination Supervisor.
Technical Skills required:
Good knowledge of the entire Microsoft Suite
BA/MA in Languages, Humanities studies or Administration and/or similar
Good knowledge of English and at least B2/C1 level of English
Student-oriented, highly motivated, precise, with excellent interpersonal skills, the ideal candidate has previous relevant experience in the Education field and at least 2/3 years’ previous experience in a similar role.
The ideal candidate can work under pressure, is flexible and an excellent problem solver; owns strong communication skills (public speaking skills are required) and the ability to work in a team as well as good interpersonal skills to interact with various departments, international students, professors and Programme Leaders.
