The Role and Candidate
The HR & Admin Executive will provide day-to-day support for both people operations and office administration in POP MART’s South European regional office. Reporting to the HRBP South Europe, this role ensures smooth coordination of travel, office logistics, documentation and employee support.
The role supports regional corporate functions and does not include store-level responsibilities. It offers strong exposure to internal operations and requires excellent organisational skills, attention to detail and a collaborative mindset.
Responsibilities
- Support onboarding administration, documentation and employee record maintenance
- Assist with recruitment coordination, including candidate communications, interview scheduling and logistics - acting as the first point of contact during the hiring process
- Track leave, benefits and contract timelines with attention to compliance and accuracy
- Assist with HR system data entry and file updates for offices and store staff
- Help coordinate performance reviews, training sessions and employee engagement activities
- Act as a liaison with external HR service providers (e.g. benefits, work visa support)
- Take ownership of any travel arrangements for the office, including flights, accommodation, visa letters, itineraries and internal approvals
- Coordinate team meetings, visitor arrangements and staff activities logistics
- Support payroll management, with a focus on aligning with store-specific HR activities
- Support the HRBP in managing the full employee lifecycle, from entry to exit, including performance reviews, development plans and offboarding
Required Qualifications
- Bachelor’s degree or equivalent experience in HR, Business Administration, or a related field
- Experience in HR and administrative support within an office environment
- Strong coordination skills, especially in managing travel arrangements, scheduling and interview logistics
- Familiarity with office expense tracking, invoice handling and budget follow-up
- Excellent communication, time management and interpersonal skills
- Proficient in Microsoft Office (Word, Excel, PowerPoint)
- Eligible to work in Italy
- Proficiency in English and Italian, speaking and writing
Desirable but Not Essential
- Background in retail, consumer brands, or other fast-paced environments
- Experience working in a regional or international business setting
- Familiarity with basic Italian HR procedures or documentation standards - experience with HR processes in other European countries is a valuable asset
