We're Hiring: Accounting & Administration Specialist | Rome
Location: Rome – Office in Via Ostilia, near the Colosseum
Schedule: Full-Time
About Us:
We’re a fast-growing company in the experiential tourism sector based in Rome, with daily operations connected to The Vatican Museums, St. Peter’s Basilica, the Colosseum, the Borghese Gallery, and San Clemente Archeological Site. We’re looking for a reliable and organized professional to support our administration and accounting needs with accuracy and team spirit.
Key Responsibilities:
Accounts Receivable & Payable
• Issuing client invoices and recording supplier invoices
• Reconciling transactions with our internal system
Tax Documentation & Payments
• Inputting F24 forms and tax payments
• Entering sales data (e.g., transactions) via the ADE
• Scheduling payments and coordinating deadlines with the team
Reporting & Payment Reminders
• Preparing financial reports and statistics for management
• Sending payment reminders and maintaining professional communication with clients and partners
Distributor Payment Reconciliation
• Verifying payments received from partners (e.g., Viator, GetYourGuide)
• Analyzing discrepancies between expected and actual revenue
Cross-Team Collaboration
• Coordinating with the Ground Operations and Purchasing Managers to report cost mismatches between invoices and internal data
• Assisting Customer Service with chargeback issues and distributor payment differences
• Managing and analyzing operational data
Internal Bookkeeping & Petty Cash Management
• Recording and categorizing transactions in our internal systems
• Organizing digital document archiving
• Managing operational petty cash
Customer Refunds
• Processing direct customer refunds quickly and accurately
Office & Logistics Support
• Ordering office supplies and materials
• Main contact for cleaning staff at our headquarters
Ideal Qualifications:
• Previous experience in administrative and accounting roles
• Accuracy, autonomy, and strong organizational skills
• Excellent knowledge of Excel and digital tools
• Familiarity with accounting platforms
• Excellent communication skills and collaborative mindset
