About Us Generative Bionics is a deep‑tech company building humanoid robot platforms to deploy human‑centered Physical AI. We design intelligent, capable machines that work alongside people in real‑world environments — developed in Genova, Italy.
Role We are looking for an Administration General Services Specialist to support key administrative activities related to employee services and company assets. The role covers a broad range of administrative tasks, qualified as General Services. These include support to employee‑related needs (processing invoices, reviewing expense reports) and company operations (company car allocation and fleet management, lease contracts and employees’ accommodation arrangements). You will work closely with Finance, Procurement and HR, ensuring operational efficiency, cost control, and compliance with company policies.
Responsibilities
Provide administrative support across General Services activities, ensuring the proper functioning of daily operations.
Guarantee accurate management of contracts, documentation, and associated monitoring (leases, fleet agreements, suppliers).
Manage and administer corporate housing, including lease contracts, renewals, and relationships with landlords and real estate agencies.
Support relocation processes for new hires (including international employees), by assuring timely and efficient housing arrangements.
Coordinate and manage company car allocation and fleet management for specific employee populations.
Support the administrative and accounting management of employees’ expense reports, ensuring accuracy and compliance with company policies.
Contribute to the supplier qualification process, collaborating with Procurement and internal stakeholders to ensure proper documentation and alignment with company standards.
Manage relationships with external suppliers (real estate agencies, landlords, leasing companies, fleet providers), by supporting effective service delivery.
Maintain accurate records and reporting related to housing and fleet activities.
Contribute to process improvement initiatives and support overall operational efficiency within General Services, also by maintaining accurate records and reporting and evaluating through specific KPIs.
Requirements
Master’s degree in Business Administration, Economics or equivalent professional experience.
Previous experience of 2–3 years in administrative roles, accounting or similar positions.
Experience in managing contracts and external vendors (real estate, leasing, fleet, or similar services) and in KPIs’ evaluation.
Experience in reviewing and processing invoices, expense reports, and reimbursements.
Strong organizational skills and high attention to detail.
Strong problem‑solving and analytical skills.
Good knowledge of Microsoft Office Suite (Excel, Word, PowerPoint).
Ability to manage multiple priorities and stakeholders effectively.
Professional proficiency in English.
Availability to travel nationally and internationally is expected.
Valued Extras
Experience in corporate housing or relocation support.
Exposure to fleet management or leasing agreements.
Familiarity with procurement processes and vendor management.
