Job Summary:
We are looking for a proactive and detail-oriented Administrative Assistant to join our team in Warsaw. This role will play a key part in supporting both external liaison efforts and internal administrative operations , ensuring smooth and efficient office functioning.
Key Responsibilities:
External Affairs Support:
- Assist with external communication and coordination with local government agencies, service providers, and business partners.
- Schedule and coordinate meetings, visits, and company-related events with external stakeholders.
- Help prepare official correspondence and documentation required for external interactions.
- Support in translation and interpretation tasks (Polish-English-Chinese preferred, if possible).
Internal Administrative Support:
- Handle daily office administrative tasks such as procurement, office supplies, equipment maintenance, and vendor management.
- Support HR-related admin tasks including onboarding assistance, document filing, and employee communication.
- Organize and maintain office files, contracts, and administrative records.
- Assist with travel arrangements, expense reports, and other logistics for the team.
- Participate in the coordination of internal meetings and activities.
Requirements:
- Bachelor's degree in Business Administration, Communication, or related field.
- 1-3 years of administrative or office assistant experience preferred.
- Strong communication and interpersonal skills.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Fluent in Italian and English ; knowledge of Chinese is a strong plus.
- Strong sense of responsibility, flexibility, and ability to work in a multicultural environment.
