Executive Personal Assistant | European Space Directors
Location: Rome (Anagnina Area), Italy. Work: Hybrid – 2 days onsite plus flexible remote. Salary: EUR 30,000 - 50,000. Start: ASAP. Travel: approximately 3‑4 short trips per year to European leadership meetings.
Responsibilities
Manage complex calendars and scheduling for the Space Managing Director (MD) and Business Development Director (BDD). Organise international and domestic travel, logistics, and documentation. Prepare, proofread and coordinate documents, presentations, and sensitive communications. Support executives during European leadership meetings (about 3‑4 in-person events per year). Ensure effective follow‑up on actions, deadlines and internal workflows. Act as point of contact between senior leadership and internal/external stakeholders. Coordinate meetings, agendas and minutes; ensure timely distribution of materials. Handle confidential information with discretion and professionalism. Manage administrative tasks related to office organisation, internal processes and executive support. Provide ad‑hoc support based on organisational needs with flexibility for executive travel.
Qualifications
Proven experience in executive assistance, administration, office management or related roles. Strong organisational, prioritisation and multitasking skills. Excellent communication skills and high attention to detail. Professional proficiency in English (minimum B2); knowledge of an additional European language is an asset. Ability to work effectively in a fast‑paced, international, multicultural environment. Discretion, reliability and a proactive mindset. Strong digital and document handling skills (MS Office, collaboration tools). Flexibility to increase onsite presence when required for executive needs or events.
