As an Expert Project Document Control, you will act as a key expert supporting projects and teams in all document control matters across the organization. You will ensure consistent, compliant, and efficient document management processes throughout the entire project lifecycle. By leveraging your expertise, you will harmonize processes, implement standards, and support the continuous improvement of document control systems and tools. You will play a vital role in ensuring transparency, quality, and compliance in project documentation.
Explore your tasks and responsibilities
Manage, organize, and coordinate electronic documents and data throughout their full lifecycle
Ensure proper filing and maintenance of documentation within electronic document management systems
Coordinate the timely submission of project documentation to clients and track deadlines
Oversee the compilation and delivery of contractually required documents
Maintain, monitor, and update metadata and document records in systems
Lead and organize coordination meetings related to documentation and processes
Define, align, and implement project-specific document control guidelines
Act as a “gatekeeper” for document control rules, processes, and quality standards
Support and train users in document management systems and provide problem‑solving guidance
Develop and enforce standards for structured project documentation
Support the creation of reporting and evaluation data for document progress tracking
Contribute to the implementation and rollout of document control systems and tools
Stay up to date with industry regulations and internal standards and ensure implementation in projects
Promote best practices through training sessions and knowledge‑sharing initiatives
Maintain strong collaboration with internal stakeholders, clients, and external partner
Show your expertise
Minimum 5 years of experience in document control, with hands‑on experience across all relevant tasks
Technical or commercial qualification and/or a university degree
Experience working with cross‑functional teams and project environments
Strong knowledge of document management systems (internal and market‑standard tools)
High IT affinity and proficiency with Microsoft Office applications
Fluent in Italian and English; additional languages are an advantage
Strong understanding of project interfaces and cross‑disciplinary requirements
Structured, reliable, and detail‑oriented working style
Strong communication and interpersonal skills with high social competence
Ability to balance different stakeholder perspectives and drive alignment
Proactive mindset with strong ownership and decision‑making capability
Ability to work independently while contributing positively to team environments
Passion for training, coaching, and fostering a learning culture
The salary range for this position is between € 42'900 and € 50'000 gross per year (full‑time). The exact salary will be determined within this range based on objective and transparent criteria, including role scope, qualifications, and relevant professional experience.
