Job Summary:


  • Assistance in day to day monitoring of maintenance tasks (reactive and preventive) in close liaison with the assigned IFM contractor.
  • Assist with site visits, inspections and audits;
  • Assistance in implementation of property plans and tactics to effectively manage the facilities activities related to the assigned portfolio to ensure investment protection, business continuity, cost management and rightsizing the portfolio to meet present demands.
  • Build a sustainable database of landlord and managing agents for the Italy portfolio, and further to extend to the Continental Europe sites.



Key responsibilities:


  • Assistance the Business System Administrator with day-to-day activities.
  • Collection and to archive of documents, correspondence etc etc.
  • Assistance on collect and maintain department records and files.
  • Arrange travel schedule and reservations.
  • Arrange medical check schedule and reservations.
  • Answer telephone and handle request for information.
  • Organize and schedule appointments.
  • Assist in the preparation of regularly schedule reports.
  • Provide administrative support for local procurement and sourcing activities.
  • Assist on creating, managing and closing purchase orders.


Qualifications:

  • Currently living in Pescara!
  • Time management skills and ability to prioritize work
  • Attention to detail and problem solving skills
  • Proficient in MS office ( Excel, Power Point, Word, PowerBI)
  • Excellent written and verbal communication skills English/ Italian.
