We’re FBK, the global leading Tender Management software company. We help Life Sciences & Healthcare businesses to unleash the potential of every Bid and Tender – and for that, we need to join us as a Front Desk Representative.
In this role you have the chance to launch your career in the enterprise software world by working in FBK operation department. Your contribution will help increase the efficiency of the office workflow. You will be in close contact with internal key stakeholders with the opportunity to grow your career fast.
The work you'll do:
- Greet and welcome guests as they come and go
- Be professional and pleasant while interacting with guests
- Handle queries and address complaints
- Schedule meetings, interviews, and appointments
- Attend phone calls and redirect them to the appropriate line
- Take messages and pass them on to the receiver
- Receive packages, deliveries, and letters
- Regularly check and sort emails
- Keep an inventory of office supplies and ensure it is always stocked
- Maintain a filing system of all required documents
- Maintain a visitors log book
- Help make travel arrangements or any other administrative help
- Collaborate with and across the administrative community as an active and engaged member
- Other duties as assigned
The qualifications you need:
- 1+ years of experience in the role
- Bachelor’s degree or equivalent experience
- Proficiency in Italian
- English C1
- MS Excel Intermediate
- MS Word Intermediate
- Excellent written and verbal communication skills
- Aptitude for planning activities
- Aptitude for efficiency and achievement of results within the set deadlines and goal orientation
- Aptitude for performing administrative work that requires analysis, initiative, discretion, and independent judgment
- Attention to detail, precision, and proactivity
- Ability to synthesize and represent information/data with precision
- Autonomy and big picture thinker
- Strong relationship management skills, build a personal network throughout the company
- Willingness to be collaborative, inclusive, to embrace diversity and to have strong interpersonal skills #differentisbetter
