Role Overview:


We are looking for an organized and proactive Aftermarket Business Assistant to join our European Head Office.


The role will provide operational and administrative support to the Aftermarket Team, ensuring efficient management of spare parts quotations, logistics documentation, and documentation required for customer site access. The position requires strong organizational skills, attention to detail, and the ability to coordinate effectively with customers, suppliers, service engineers, and internal departments.


The position is ideal for candidates who are willing to develop a career in aftermarket operations and customer support within an international industrial environment.


Key Responsibilities:


  • Prepare and manage spare parts quotations in coordination with the Aftermarket Sales Team.
  • Support internal stakeholders by providing timely quotation-related documentation and information.
  • Prepare, review, and maintain logistics documentation for spare parts for domestic and international shipments.
  • Coordinate shipping documentation and liaise with logistics providers to ensure smooth and timely deliveries.
  • Prepare and manage documentation required for customer site entrance, including safety, compliance, and administrative requirements.
  • Coordinate with customers and field service engineers to ensure site access documentation is complete and submitted on time.
  • Maintain accurate records and update internal databases, reports, and documentation.
  • Support the Aftermarket Team in day-to-day business activities and administrative tasks.
  • Collaborate with Sales, Service, Logistics, Finance, and other internal departments to ensure efficient execution of aftermarket operations.
  • Monitor the status of quotations, shipments, and documentation to ensure deadlines are met.


Skills and Qualifications:


  • Previous experience in sales support, customer service, logistics, aftermarket support, or administrative roles would be considered an advantage.
  • Recent graduates and candidates at the beginning of their professional career are encouraged to apply.
  • Strong organizational and time-management skills.
  • High attention to detail and accuracy in document management.
  • Strong communication and interpersonal skills.
  • Ability to manage multiple tasks and priorities in a dynamic environment.
  • Proficiency in Microsoft Office applications, particularly Excel, Word, and Outlook.
  • Experience working with ERP systems would be considered a plus.
  • English language proficiency at B2/C1 level (written and spoken) is required.
  • Knowledge of the Korean language would be considered a plus.


Location:


This position will be located in Cinisello Balsamo (MI), Italy.
