The role

We are on the lookout for our new Head of Administration & Accounting to lead our Accounting team, one of our key staff functions. In this role, your mission will be to ensure robust and compliant administrative and financial operations, supervising accounting and tax activities while guiding the Accounting team in supporting all business units with accurate and timely processes.

Responsibilities

Reporting directly to our CFO, you will:

  • Lead the Accounting and Administration function, ensuring accurate bookkeeping, general ledger maintenance, and compliance with accounting standards and tax obligations
  • Oversee the preparation of statutory financial statements, including consolidated reporting, in collaboration with external consultants and auditors
  • Supervise the full procure‑to‑pay and order‑to‑cash cycles, including invoice management, supplier payments, and revenue operations
  • Ensure correct usage and data integrity across financial systems, especially ERP (Netsuite) and CRM (Hubspot)
  • Coordinate and oversee administrative processes related to B2B and B2C contracts, ensuring that the Accounting and Administration team executes them accurately and on time
  • Support the business with timely, compliant documentation for legal, audit, and tax purposes
  • Lead and mentor a team of two people, ensuring process efficiency, accountability, and continuous development
  • Serve as the main point of contact for external accountants, tax advisors, and auditors in all countries where we operate (Italy, Spain, and Denmark)
  • Collaborate closely with other internal teams to ensure alignment on workflows, deadlines, and data accuracy

About you

You are a senior expert in administration and finance, with strong economic and financial knowledge and the ability to bring structure where it's needed. On top of this, you have:

  • At least 8 years of experience in administration and finance, including a proven track record in a leadership role at an organization of similar size (around 100 people)
  • Deep knowledge of accounting principles, tax regulations, and statutory compliance, with experience in preparing and reviewing financial statements (including consolidated accounts) — prior auditing experience is a strong plus
  • Solid experience with ERP systems (ideally Netsuite) and confidence working with operational tools in the Google Workspace stack
  • Ability to navigate complexity, take ownership, and get things done in unstructured contexts
  • Familiarity with CRM systems such as Hubspot, especially in relation to order‑to‑cash workflows
  • Experience managing and developing small teams, with a clear focus on accountability and process improvement
  • Precision, reliability, and a strong sense of ownership — you don't wait for clarity, you help create it
  • Native proficiency in Italian and full professional proficiency in English
  • Based in Milan or able to be regularly present at our Milan office

You will love this role if

You enjoy taking responsibility for tangible results and seeing the impact of your decisions on stabilizing the existing platform. You are a pragmatic doer, comfortable stepping into operational details while keeping a clear direction.
