Job Description: We are looking for an Incoming Travel Operation Assistant to accompany our daily travel organization activities in Italy. In this full-time role, you will be responsible for coordinating bookings, managing customer communications, and overseeing logistics operations to ensure a flawless travel experience. In coordination with the Travel Designer, you will also collaborate with various local service providers to maintain our quality standards. This role is based on-site, in our offices located in Milan.

Main Responsibilities:

• Execute operational activities involved in the realisation of a tailor-made luxury trip.
• Book and reconfirm services included into the program.
• Collaborate with high-level suppliers and partners in the luxury sector.
• Prepare flawless Travel books and travel documentation.
• Deliver an exceptional customer experience from the moment of contact to the end of the stay.
• Field operation management: Coordinate operational teams (drivers, guides, reps) to ensure flawless execution and liaise with customers.
• Update our Catalog of services and Suppliers CRM
• Ensure purchasing prices aligns with goals of business: monitor profit margins on activities and services before closing files.
• Participate to admin tasks and monitorare payments

Required skills and competences:

• This job is an opportunity for recently graduated persons looking for a first experience in the Luxury travel / tour operating / DMC sector.
• A passion for travel suported by academic studies in the tourism or hospitality business.
• Organizational skills, rigor, and attention to detail.
• Excellent command of Italian and English (reading, writing, speaking): fluency in several languages is important for working with international customers; knowledge of French is a plus.
• Self-starter, hands-on, pragmatic and multi-tasker.
• Savvy in the use of Excel (pivot tables, formulas), Canvas or Powerpoint.
• Flexibility and ability to anticipate and respond quickly to customer needs in the field.
• Solution and result orientation.
