A Japanese company is currently recruiting an Office Manager to work in their Northern Milan office.
In this role, you will be responsible for coordinating and managing all aspects of the company business including general affairs, legal obligations, HR, administration and accounting, contracts, and liaison activities with outsourced companies and consultants.
The ideal candidate should have experience in office management, strong organisational skills, bilingual communication, and an understanding of accounting practices.
Business level of Italian and English will be required for this role.
Understanding of Japanese culture and some Japanese skill would be advantageous.

Office Manager Main Responsibilities:
- Oversee and manage the day-to-day administrative operations of the company, including office management, facilities, and administrative support services
- Ensure implementation of both HDQ and local Policy and Procedures to ensure Efficiency, Safety and Compliance with local law
- Develop and maintain relationships with external vendors, service providers, and external consultants to support administrative needs
- Application to ENAC twice a year for codeshare flights and direct flight
- Check and approve Contracts with local vendors/suppliers/services
- Coordinate necessary action with Italian consultants including Fiscal Consultant, Payroll Consultant, Health & Safety Consultant, Medical Consultant, Legal Consultant, and Immigration Consultant
- Manage office facilities and resources, including IT equipment maintenance, and monitor inventory supplies
- Accounting related activities: management of receivables and payables,
Disbursements / Reporting / Audits / BSP and CASS
- Manage budgets, expenses, and financial records for administrative operations, ensuring cost-effectiveness and accountability
- Maintain and update the company Office Portal
- Collaborate with other departments to support cross-functional initiatives and projects
- Foster a positive and productive work environment within the administrative team, promoting teamwork, communication, and professional development
- Prepare paperwork for hires and termination
- Maintain good Communication with HDQ
- Handle confidential and sensitive information with discretion and integrity
Office Manager Ideal Candidate:
- Experience as Office Manager
- Previous airline experience would be advantageous
- Business level Italian and English language skills
- Ability working with MS Office, particularly Word, Excel, and PowerPoint
- Good organizational skills and time management skills
- Ability to work well with a team and multitask
- IT knowledge would be advantageous
- Understanding of Japanese culture and some Japanese would be advantageous
