Operations Specialist (UK & DE) – Milan

For a leading international company, we are looking for an Operations Specialist to support operational activities across the UK and Germany network.

Location: Milan

Languages required: Fluent English and German

What you’ll do

You will join the Operations team and manage the end-to-end lifecycle of locker installation sites, working closely with internal teams, partners, and vendors.

Key responsibilities:

Survey & Site Preparation

• Request and follow up on survey reports from vendors
• Coordinate with partners and vendors
• Oversee site preparation activities

Installation Support

• Coordinate the process from survey to installation completion
• Manage installations and follow up on failed attempts
• Ensure system data alignment (Locker/Counter)

Maintenance & Ticket Management

• Monitor the ticket queue on a daily basis
• Manage downtime and locker reactivations
• Handle non-urgent requests (maintenance, cleaning, spare parts)
• Manage supply orders and restocking

Operational Support

• Handle incoming emails and requests from hosts/partners
• Coordinate cross-functional activities between internal teams and vendors
• Keep systems and records updated

Reporting & Monitoring

• Prepare weekly reports on surveys, installations, tickets, and downtime
• Monitor performance and manage escalations

• Fluent in English and German
• Experience in operations or project coordination
• Strong organizational and prioritization skills
• Problem-solving mindset and attention to detail
• Excellent communication and stakeholder management skills

Cosa farai

Entrerai a far parte del team Operations e ti occuperai della gestione end-to-end del ciclo di vita dei siti di installazione locker, collaborando con team interni, partner e fornitori.

In particolare:

Survey & Site Preparation

• Richiesta e follow-up survey ai vendor
• Coordinamento con partner e fornitori
• Supervisione delle attività di preparazione sito

Supporto Installazioni

• Coordinamento del processo dalla survey all’installazione
• Gestione installazioni e follow-up su tentativi falliti
• Allineamento dati sistema (Locker/Counter)

Maintenance & Ticket Management

• Monitoraggio giornaliero della ticket queue
• Gestione downtime e riattivazione Locker
• Gestione richieste non urgenti (manutenzione, pulizia, ricambi)
• Gestione ordini di materiali e forniture

Supporto Operativo

• Gestione email e richieste da host/partner
• Coordinamento cross-funzionale tra team interni e fornitori
• Aggiornamento costante dei sistemi operativi

Reporting & Monitoring

• Report settimanali su survey, installazioni, ticket e downtime
• Monitoraggio performance e gestione escalation

• Ottima conoscenza di inglese e tedesco
• Esperienza in ambito operations / project coordination
• Ottime capacità organizzative e di gestione priorità
• Problem solving e attenzione al dettaglio
• Buone capacità relazionali e di coordinamento
