Payable Accountant
Octagon Professionals is looking for a Payable Accountant to support the Accounts Payable service for ESRIN in Frascati, Italy.
Responsibilities
- Invoice Verification & Registration
- Conduct formal checks to determine whether a document qualifies as a valid invoice or advance.
- Register invoices and advances in the ESA-P system.
- Data Validation
- Verify the accuracy of vendor master and bank details.
- Ensure correct account assignment for invoices without prior commitment.
- Invoice & Payment Processing
- Post invoices and pre-approve advance payment requests in the ESA-P system.
- Ensure final approval of invoice and advance payment requests is conducted by ESA staff before executing the payment list.
- Control and clear down payments according to the Offset Plan.
- Identify payments ready for processing within a structured repository.
- Collaboration & Communication
- Coordinate with colleagues within the section for invoice verification and processing.
- Liaise proactively with ESA initiating services regarding invoices and reimbursement requests.
- Reporting & Ad Hoc Tasks
- Prepare ad hoc reports and handle special tasks related to accounts payable as needed.
Requirements
- Bachelor's or Master's degree in Accounting, Finance, or a related field.
- Minimum of 4 years of professional experience in the relevant field.
- IT Skills: SAP (ECC and SRM modules), Microsoft Office, Adobe Acrobat, VIM/OpenText, electronic mailing systems, Microsoft Teams, and other collaborative working tools such as SharePoint.
- Familiarity with ESA corporate applications, such as ESA-P, is an asset.
- Excellent numerical skills and a strong accounting background with the analytical capabilities required to operate a complex accounting system.
- Demonstrated service-oriented attitude, strong team spirit, and the ability to collaborate effectively with other services and individuals in an international environment.
- Proficient in English (both written and spoken). Knowledge of another official ESA language, as well as the national language of the country where the service is provided, is an asset.
