ABOUT THE ROLE

Reporting to: Front Office Manager

Location: Rome, Italy

The Reception Manager plays a key operational and supervisory role within the Front Office department, supporting the Front Office Manager (who also acts as Hotel Manager in support of the General Manager) in ensuring smooth daily operations and excellent guest service delivery.

This role is responsible for the coordination of Front Office shifts, team supervision, and direct guest interaction, ensuring that service standards are consistently met and exceeded. The Receptionist Manager acts as a point of reference for the Front Office team during operations and contributes to maintaining a high level of guest satisfaction in a boutique hotel environment.

The position requires a hands-on approach, strong operational focus, and the ability to balance leadership with active involvement in daily reception duties.

JOB DESCRIPTION

KEY RESPONSIBILITIES

  • Ensure excellent guest experience from pre-arrival to departure, delivering warm, personalized service.
  • Supervise daily Front Office operations (check-in, check-out, reservations support, guest assistance).
  • Coordinate Front Office team shifts and ensure proper coverage in line with occupancy and business needs.
  • Support the Front Office Manager in implementing procedures, standards, and service guidelines.
  • Monitor daily operations and assist in handling guest feedback, complaints, and special requests.
  • Assist in preparing daily reports (occupancy, guest feedback, operational notes).
  • Ensure smooth communication between Front Office and other departments (Housekeeping, F&B).

CONNECTION

  • Welcome and assist VIP and repeat guests, ensuring a personalized and memorable stay.
  • Act as a reference point for guests throughout their stay.
  • Maintain strong internal communication across all departments.

CURATION

  • Support the guest experience by promoting hotel services (bar, breakfast, quick lunch).
  • Contribute to creating a welcoming and community-oriented atmosphere within the hotel.

INNOVATION

  • Proactively suggest improvements to Front Office procedures and guest experience.
  • Support upselling and cross-selling activities in line with hotel strategy.
  • Assist in maximizing room revenue and optimizing operational efficiency.

LEADING THE WAY

  • Supervise, guide, and support Front Office staff during shifts.
  • Assist in training new team members and ensuring adherence to standards.
  • Promote teamwork, positive attitude, and service excellence.
  • Follow and promote sustainability practices within daily operations.

EXPERIENCE & SKILLS

  • Previous experience as Senior Receptionist, Supervisor, or similar Front Office role required.
  • Experience in boutique or lifestyle hotels is a plus.
  • Fluent in English; Italian required.
  • Strong operational knowledge of Front Office procedures.
  • Hands-on attitude with strong problem-solving skills.
  • Ability to supervise and motivate a small team in a dynamic environment.
  • Guest-oriented mindset with attention to detail.
  • Familiarity with PMS systems and hotel operations tools.
