Role Overview:
We are seeking an Administration and Logistics candidate to support the Supply Chain team in daily operations and order management. The role involves handling invoicing, credit notes, and logistics documentation while ensuring accurate and timely processing of all orders. You will liaise closely with customers, sales, finance, and logistics partners to track orders and resolve queries. This position requires strong attention to detail, good numerical skills, and effective communication in both Italian and English.
Core Responsibilities:
- Manage customer orders through the New Ark system, ensuring accurate order entry and timely processing.
- Coordinate with the Finance department regarding order releases due to financial checks
- Issue and manage invoices, debit notes, and credit notes, ensuring their timely distribution to customers and Key Account Managers (KAMs).
- Provide customers with accurate information, updates, and prompt responses to inquiries.
- Maintain daily communication with Key Account Managers, freight forwarders, and third-party logistics providers (3PLs).
- Oversee the full order management process, including order entry, status updates, and monitoring throughout the order lifecycle.
- Liaise with Demand Planning to verify product availability, allocation, and expected delivery dates.
- Coordinate transportation activities, including truck planning, preparation of shipping documentation, release of delivery notes, palletization management, customer booking arrangements, and delivery follow-up.
- Monitor and ensure on-time deliveries while proactively addressing any logistical issues.
Qualifications :
- 2-3 years of experience in a sales support, administrative, or coordinator role; experience in TV or consumer electronics sector is a strong advantage.
- Intermediate MS Excel skills (creating spreadsheets and using financial functions)
- Organizational and time-management skills
- Attention to detail, with an ability to spot numerical errors
- Collaboration and Teamwork
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
- BSc degree in Economics, Management engineering, Logistics is an advantage
- Mandatory italian mother tongue and fluency in English.
