Who We Are Looking For Senior Administration and Finance Specialist
The AI4I Foundation is seeking a Senior Administration and Finance Specialist, who will have the opportunity to contribute directly to the development of the administrative processes of a rapidly growing national foundation, playing a part in the evolution of the Finance function – with its advanced organizational structure – right from its early stages. The current role offers further progression in terms of responsibility and career development in the medium term.
The successful candidate will act as the operational lead for the Foundation’s
administrative processes , providing the necessary support to the scientific network with the aim of
streamlining procurement and administrative management activities , minimizing the administrative burden on the researchers themselves, in full compliance with the Foundation’s regulations and public law, ensuring coordination between researchers, internal departments, external service providers involved in administrative activities, and ensuring the proper conduct of administrative, accounting, financial and related tasks.
The role requires a candidate with a
solid background in administration and accountancy , preferably gained in an audit firm or within highly structured public or private sector organizations, capable of working independently, with precision and a sense of initiative in a dynamic and rapidly evolving environment.
Reporting to the Finance Director, the successful candidate will be responsible for the following activities:
Overseeing the procurement cycle, supporting internal departments and researchers in preparing purchase requests, and verifying their compliance with internal procedures and current legislation in coordination with the external service provider involved in the process.
Managing the administrative processes related to the accounts payable cycle, taking into account the specific requirements associated with research project reporting, ensuring the correct handling of goods received, supporting documentation for supplies and services, pre‑payment checks on invoices, and the reporting of company expenses.
Collaborate operationally with the external outsourcing provider on accounting processes, ensuring the timely transmission of the administrative and cost accounting information required for the correct recording of transactions.
Support cash management by handling operational relations with banks, preparing the necessary documentation for payments and working with the Finance Director on liquidity management.
Coordinate with the Planning, Evaluation and Strategic Control function to implement the budgeting and management control process.
Manage operational relations with tax and employment consultants, preparing the documentation required for compliance and monitoring its correct and timely execution.
To assist the Finance Director with operational control activities, period‑end closing procedures, and the preparation of the annual financial statements and reports to support audits by the supervisory bodies.
Professional Requirements
A bachelor’s or master’s degree in Economics, Business Administration or a related discipline. If the qualification was obtained abroad, it must be accompanied by a certificate of recognition or equivalence, in accordance with current legislation.
At least 5 years’ experience in administration, accounts payable management, procurement processes, accounting or auditing.
Knowledge of general accounting principles and tax issues relating to the procurement of goods and services.
Good knowledge of public procurement legislation, the traceability of financial flows and related compliance requirements (CIG, CUP and associated regulations).
Experience in using ERP systems.
Good knowledge of English.
Preferred Requirements
Experience gained in the sector covered by the search, in industrial fields related to the Foundation’s activities or in research bodies, foundations, universities or publicly funded organizations.
Experience in managing funded projects.
Experience in managing relationships with tax advisers, employment advisers and providers of outsourced administrative services.
Experience working for an audit firm.
Knowledge of cost accounting.
Experience in using artificial intelligence tools for the management of administrative tasks.

General Requirements
Italian citizenship or citizenship of one of the European Union member states (in the latter case, an excellent and certified knowledge of the Italian language, both spoken and written, is required).
Full enjoyment of civil and political rights (not having been excluded from the right to vote or stand for election).
No grounds for incompatibility or ineligibility pursuant to Legislative Decree 39/2013 (Provisions concerning ineligibility and incompatibility for appointments within public administrations and publicly controlled private bodies, in accordance with Article 1, paragraphs 49 and 50, of Law No. 190 of 6 November 2012).
No criminal convictions that, under the relevant provisions in force, would prevent the establishment of a relationship with a public administration.
Compliance with the conditions set out in Article 53 of Legislative Decree 165/2011 (in particular, paragraph 16-ter), not having been disqualified from public office, nor having been dismissed, relieved of duties or sacked from employment with a public administration (excluding cases where the employment relationship was terminated for justified objective reasons), or not having been declared disqualified from public service following a finding that the post was obtained by producing false or invalid documents.
A finding that even one of the above requirements for admission is not met will result in exclusion from the procedure.
