Atelier Biagetti is looking for aStudio & Operations Coordinatorto join its Milan-based studio.

We are looking for a highly organized, proactive and flexible person to support the studio across office management, daily operations, studio assistance and project coordination. This is a cross-functional role at the center of the studio’s daily activities. The ideal candidate is comfortable managing administrative tasks, coordinating suppliers and external consultants, supporting the team on ongoing projects, and helping ensure that internal processes are clear, organized and efficient.

Main responsibilities

  • Support the organization of the office and studio, including supplies, maintenance, services and general needs.
  • Coordinate shipments, logistics, couriers and operational follow-ups when needed.
  • Assist with meetings, scheduling, agenda management, travel arrangements and internal coordination.
  • Support the management team and creative direction with day-to-day organizational needs.
  • Assist project leaders in the coordination of ongoing projects, from planning to delivery.
  • Liaise with suppliers, artisans, logistics partners and external collaborators to monitor timelines and deliverables.
  • Help update recap documents and final reports.
  • Support the preparation of presentations, meeting notes, follow-up emails and project documents.
  • Assist during installations, events, fairs, shoots and special projects.
  • Help improve internal workflows, filing systems, communication processes and approval flows.
  • Support the daily administrative and operational management of the studio.
  • Keep digital and physical archives organized and up to date.
  • Collect, organize and follow up on quotes, orders, confirmations, invoices, production updates and shipping documents.

Requirements

  • Previous experience in office management, administration, operations, studio assistance or project coordination.
  • Excellent organizational skills and strong attention to detail.
  • Ability to manage multiple priorities in a dynamic and creative environment.
  • Practical mindset and problem‑solving attitude.
  • Good knowledge of Excel / Google Sheets, shared drives, email and digital tools.
  • Fluency inItalian and English, both written and spoken.
  • Strong communication and coordination skills.
  • Ability to interact with suppliers, consultants, clients, partners and different internal teams.
  • Discretion and reliability when handling financial, administrative and confidential information.
  • Ability to work independently while staying aligned with the team.
  • Interest in design, art, fashion, interiors or creative industries is a plus.

TheStudio & Operations Coordinatorwill play a key role in supporting the daily functioning of the studio, ensuring that administrative, organizational and project‑related activities are properly managed, tracked and coordinated. This role is ideal for someone who is structured, hands‑on and proactive, with the ability to move fluidly between administration, operations, studio support and project coordination.
