The Warranty Specialist is responsible for managing and processing warranty claims in accordance with company policies and manufacturer guidelines. This role ensures accurate documentation, timely claim submissions, and compliance with warranty procedures while supporting service teams and enhancing customer satisfaction.
Key Responsibilities
- Review, analyze, and process warranty claims submitted by dealerships.
- Ensure all claims meet company warranty policies, procedures, and standards.
- Verify repair orders, labor operations, parts usage, and supporting documentation for accuracy and completeness.
- Submit claims to manufacturers or warranty providers within required timeframes.
- Monitor claim status and follow up on pending or rejected claims to ensure resolution.
- Investigate and resolve discrepancies, denied claims, or chargebacks.
- Maintain organized and accurate warranty records and documentation.
- Communicate with HQ regarding claim process, requirements and updates.
- Analyze warranty data and trends to identify recurring issues or cost-saving opportunities.
- Support internal and external warranty audits.
Qualifications & Requirements
- 2+ years of experience in automotive warranty, service administration, or related field.
- Strong knowledge of automotive systems, repair processes, and warranty policies.
- Experience with dealership management systems (DMS) and manufacturer warranty platforms preferred.
- Excellent attention to detail and organizational skills.
- Strong analytical and problem-solving abilities.
- Effective communication and interpersonal skills.
- Ability to manage multiple tasks and meet strict deadlines.
- Proficiency in Microsoft Office (Excel, Word, Outlook).
- Fluent in Italian and English both spoken and written.
